Automated email collection and archiving
MailVault can archive email using multiple network protocols like POP3, IMAP and SMTP. It can archive email from local or network attached storage and can recognize various mail formats like mbox, Maildir, eml files, etc. For personal use, it can archive email stored in Thunderbird, Microsoft Outlook and Microsoft Outlook Express.
Smart single-instance email store
MailVault uses deduplication techniques to store just one copy of an email message, no matter how many duplicates are thrown at it. Additionally, it uses compression for even greater space savings, thus minimizing disk space usage and maximizing storage efficiency.
Easy archive management
While you may use traditional backup software for your backups, MailVault includes a built-in secondary backup up facility that makes automated incremental backups of your archive onto a connected secondary storage.
A filter facility allows you to discard messages that match the specified criteria from getting into the archive. This is a great way to keep out email that is not of business value (newsletters, mailing lists, etc.)
A primary archive retention policy allows for older messages to be taken off onto secondary inexpensive storage (including portable external hard disks), thus using the primary space more effectively and making the long-term storage of huge amounts of data extremely economical.
Flexible retention policies for archived email
These govern how long email must stay archived within MailVault. Custom policies allow you to treat varying types of email differently. For instance newsletters can be set to be purged within say, three months and external communications may be set to be retained for say, five years.
Litigation support
“Hold email” functionality allows MailVault to hold email for purposes of legal discovery and litigation support. Email held thus, will not be deleted for any reason – not automatically by a retention policy, neither manually by the administrator. For convenience and organization, email can be grouped into different groups or cases.
Email tamper detection
The value of any information lies in the correctness of the information itself. MailVault fingerprints email as part of the archiving process and will alert you in case the messages have been tampered with.
Powerful search and retrieval mechanism
If you have used Google, you’ll have no problems using MailVault’s search engine. Simply enter your search term and seek what you find.
MailVault by default searches through everything – a free text message search through the contents of the entire email body, as well as the contents of the most popular attachments (MS doc, HTML, PDF). A “search within search results” allows you to drill down to your target, and the advanced search mode makes it possible to specify various criteria that your search results must match.
When possible, MailVault indicates a “conversation available” for a particular mail in the search result, thus allowing you to put things into context.
Messages from a search result (including entire conversations) can be quickly forwarded to users, with a “forward as original” mode available.
Backup and restore email
Email archived by MailVault can easily be restored on demand by the administrator or by an individual user (only for himself or herself).
One can choose to restore all or selective email (say only for the last 3 months). The original sender information is maintained in the restored messages, so that any filters that exist in the recipient’s email client will continue to work as before in organizing the newly restored email.
Never again, will you need to worry about mail loss due to accidental deletion or a disk crash, etc.
Convenient and powerful user management
Normally, user management can take up a lot of administration effort. We understand that and have built a plethora of features to make this easy and convenient for the administrator, while at the same time enhancing the end-user experience.
MailVault allows for the addition of single or multiple users easily, with optional automatic secure password generation and self-activation of accounts (by the users). Or simply bulk-import users from CSV files, LDAP or Active Directory. An optional welcome mail can inform your user’s about email archival policies, etc.
In case you need single-sign-on, MailVault also supports remote authentication mechanisms (LDAP, Active Directory).
Users have roles which determine their privileges in the system and MailVault allows for a user to have multiple email-ids.
System and information alerts
Normally an archival system just sits in the back, hidden away doing it’s work day-after-day. Often you may not need to connect to it for days on end. So what happens if there is a problem? A power-failure, disk crash, less disk space, a bug, etc.
Although it doesn’t replace active-monitoring by an external system, MailVault alerts are designed to keep you informed and in the know without having to remember to do a regular check yourself. A daily system-activity summary for the administrator, low disk space warning, license expiry warnings and optional personal email usage summary for users.
Security policies
What a user is allowed to access and what he or she is authorized to do depends on the user’s role. MailVault supports multiple roles: regular user, reviewer and administrator.
Depending on the organizations security policy, MailVault allows for corporate messaging surveillance and email monitoring. For routine usage, it protects privacy by allowing regular users to search and access only their own mail.
There are rules to specify how user authentication takes place and what user’s are able to do with search results (for instance can they forward an email to an id other than their own).
Reports and logging
MailVault supports automated logging and log rotation and keeps track of administrative and operational activities. The reports section allows you to check and audit all user-activity, see who your top users are, check inbound and outbound email flows and keep a watch on email usage and trends. A custom query facility allows you to look up the information you need.
Compliance aware
MailVault assists your compliance needs by allowing for long term storage for your email, making it powerfully searchable and very quickly retrievable. Besides the ability to audit email, all administrator and user activities are captured and auditable.
